Revian uses role-based access control to help you manage who can see and do what in your organization. Each user is assigned a role that determines their permissions across the platform. Understanding these roles helps you set up your team structure effectively.
Available roles
Revian offers seven user roles, each with different levels of access and capabilities.
Owner
- Full access to all features and data across the organization
- Manage billing, payment methods, and subscription plans
- Add, remove, and manage all team members
- Configure organization-wide settings and integrations
- Delete the organization (this action is permanent)
- Transfer ownership to another user
Admin
- Add and remove users, assign roles (except Owner)
- Configure features, workflows, and automations
- Manage integrations and connected apps
- Access all deals, contacts, and activities
- Cannot access billing or payment information
- Cannot delete the organization
Manager
- View deals, calls, and activities for their team members
- Override forecasts submitted by team members
- Approve discount requests and deal exceptions
- Run reports on team performance
- Cannot add or remove users
- Cannot change organization settings
Support
- Access customer success and support ticket features
- View deals and contacts assigned to their accounts
- Manage support tickets and customer communications
- Cannot access sales-specific features like sequences
- Cannot modify deals or pipeline data
Rep
Member
- Read-only access to shared team data
- View deals, contacts, and reports
- Cannot create or modify records
- Cannot send emails or make calls through the system
- Useful for executives or observers who need visibility
External
- Limited access for external collaborators
- Can only view specific deal rooms they are invited to
- Cannot access the main application
- Useful for partners, vendors, or customers in deal rooms
Changing user roles
Owners and Admins can change user roles at any time. Here's how:
- Go to Settings > Team from the main navigation
- Find the user whose role you want to change
- Click the role dropdown next to their name
- Select the new role from the list
- Confirm the change when prompted
Role changes take effect immediately. The user will see their new permissions the next time they refresh the page or log in.
Note: There must always be at least one Owner in your organization. To transfer ownership, the current Owner must assign the Owner role to another user first.
Role-based feature visibility
Revian automatically adjusts the interface based on each user's role. Features that a user cannot access are hidden from their view entirely. This keeps the experience clean and focused.
For example:
- Reps see their own pipeline, tasks, and performance metrics
- Managers see team dashboards, approval queues, and forecast rollups
- Admins see the Settings menu with user management and configuration options
- Owners see everything including the Billing section
This approach means users are not confused by features they cannot use. It also ensures sensitive information like billing details stays protected.
Tip: When onboarding new team members, consider starting them as Reps and promoting to Manager as they take on leadership responsibilities. This gives them time to learn the platform before gaining broader access.
