Data export

Your data belongs to you. Revian makes it easy to export contacts, deals, and companies whenever you need them. Whether you are creating reports, backing up data, or moving to another system, exports are straightforward and comprehensive.

Owners and Admins can export data from Settings > Data > Export.

Export contacts

Export your contact database to a CSV file that works with Excel, Google Sheets, or any spreadsheet application.

To export contacts:

  1. Go to Settings > Data > Export
  2. Select Contacts as the data type
  3. Choose which fields to include (or select all)
  4. Optionally filter by owner, date range, or tags
  5. Click Generate Export

The export includes all standard contact fields plus any custom fields you have created. Common fields include:

Note: Contact exports include the associated company name but not full company details. Export companies separately if you need complete company data.

Export deals

Get your deal data including pipeline stages, values, and close dates. This is useful for pipeline analysis outside of Revian or for sharing with stakeholders who do not have Revian access.

You can filter deal exports by pipeline, stage, owner, date range, or deal status (open, won, lost).

Export companies

Export your company records with all associated information. Company exports are particularly useful when you need to analyze your account base or enrich data in external tools.

Field mapping in exports

When generating an export, you control exactly which fields appear in your CSV. This helps you create clean exports tailored to specific needs.

To customize field mapping:

  1. On the export screen, click Select Fields
  2. Check the boxes for fields you want to include
  3. Drag fields to reorder columns in the output
  4. Rename column headers if needed (optional)
  5. Save as a template for future exports

Saved templates make it easy to run the same export repeatedly without reconfiguring fields each time.

  • Use filters to export only the records you need
  • Create separate templates for different use cases
  • Include record IDs if you plan to reimport or update data
  • Test with a small date range before exporting large datasets

Scheduled exports

Set up recurring exports that run automatically and deliver files to your email or cloud storage. This is perfect for regular reporting or keeping external systems in sync.

To create a scheduled export:

  1. Configure your export settings (data type, fields, filters)
  2. Click Schedule This Export
  3. Choose frequency: daily, weekly, or monthly
  4. Select delivery method: email or cloud storage (Google Drive, Dropbox)
  5. Set the delivery time and recipients
  6. Activate the schedule

Scheduled exports run at your specified time and deliver the latest data automatically. You can pause, edit, or delete schedules anytime.

Tip: Use scheduled exports to automatically send weekly pipeline reports to your leadership team without manual work.

Data portability and ownership

At Revian, we believe your data is yours. You have the right to export and take your data with you at any time, for any reason. We do not charge for exports or limit how often you can export.

Key principles:

For very large exports (millions of records), processing may take longer. You will receive an email when your export is ready to download.
