E-signatures in Revian are included based on your plan tier. Plus users get 5 signatures per user per month (pooled across your team), while Ultimate users get 10 per user per month. Base users can access e-signatures at the overage rate. When your team exceeds the included amount, overage charges apply at $2 per additional signature.
You can control how Revian handles overages to match your budget preferences. Access these settings in Settings > E-signatures.
Overage modes
Choose from three modes to control e-signature spending:
Block Mode
- Stops all e-signature sending when your included limit is reached
- Users see a message explaining the limit has been reached
- No overage charges will occur
- Best for strict budget control
Limit Mode
- Allows a set number of overages per month
- You define the maximum overage count (e.g., 10 additional signatures)
- Once the cap is hit, behavior switches to Block mode
- Best for predictable costs with some flexibility
Unlimited Mode
- No restrictions on e-signature sending
- Overages are charged at $2 each without any cap
- Team members can always send signatures
- Best when closing deals matters more than cost control
Setting monthly overage caps
When using Limit mode, you set a maximum number of overages allowed per billing cycle. To configure this:
- Go to Settings > E-signatures
- Select Limit Mode
- Enter your monthly overage cap (e.g., 20)
- Click Save Changes
The cap applies to your entire organization, not per user. If you have 5 Plus users with 5 signatures each (25 total included) and set a cap of 20 overages, your team can send up to 45 signatures per month.
Tip: Review your past few months of e-signature usage before setting a cap. You can find this data in Settings > Billing > Usage History.
Notification preferences
Stay informed about your e-signature usage with automated alerts. You can configure notifications to be sent to Owners, Admins, or specific email addresses.
Available notification triggers:
- 50% threshold - Alert when half of included signatures are used
- 80% threshold - Alert when approaching your limit
- 100% threshold - Alert when included signatures are exhausted
- Overage alerts - Alert each time an overage signature is sent
- Cap reached - Alert when the overage cap is hit (Limit mode only)
To set up notifications:
- Go to Settings > E-signatures > Notifications
- Toggle on the alerts you want to receive
- Add email addresses for notification recipients
- Save your preferences
Auto-stage advancement
Revian can automatically move deals forward in your pipeline when e-signature events occur. This keeps your CRM up to date without manual work.
Configure stage advancement for these events:
- Signature sent - Move deal when you send a document for signature
- Signature viewed - Move deal when recipient opens the document
- Signature completed - Move deal when all parties have signed
To set up auto-advancement:
- Go to Settings > E-signatures > Automation
- For each event, select the stage to move deals to
- Choose whether this applies to all pipelines or specific ones
- Save your configuration
Example: Set "Signature completed" to move deals to "Closed Won" automatically. When your customer signs, the deal closes without you lifting a finger.
Viewing current usage
Check your e-signature usage anytime in Settings > E-signatures > Usage. This shows:
- Signatures used this billing cycle
- Included signatures remaining
- Overages incurred (if any)
- Breakdown by user
Usage resets on your billing date each month.
