Once your proposal is ready, it's time to get it in front of your prospect. Revian makes it easy to send proposals and track engagement so you know exactly when to follow up.
Sending your proposal
Click Send in the proposal builder to open the send dialog. Here you'll configure who receives the proposal and how.
Adding recipients
You can add two types of recipients:
- Primary recipient - The main contact who needs to review and accept the proposal. This is typically your champion or the decision maker.
- CC recipients - Additional stakeholders who should receive a copy. They can view the proposal but cannot accept it.
Recipients are pulled from your contacts on the associated deal. You can also enter email addresses manually for contacts not yet in your CRM.
Tip: Adding the economic buyer as a CC keeps them in the loop without requiring them to take action.
Email customization
Revian sends a branded email with a link to view the proposal. You can customize the email subject line and add a personal message that appears above the proposal link.
The public proposal portal
Each proposal gets a unique URL that recipients use to view it. The URL follows this format:

This public portal is fully branded with your company logo and colors. Recipients don't need to create an account or log in. They simply click the link and view the proposal in their browser.
The portal works on any device. Proposals automatically adapt to desktop, tablet, and mobile screens.
View tracking
Revian tracks engagement with your proposals so you can time your follow-up perfectly.
What we track
- When the recipient first opened the proposal
- Total number of views
- Time spent viewing (in minutes)
- Most recent view timestamp
- Device type (desktop, mobile, tablet)
View this data in the proposal's activity timeline or on the deal record. You'll also receive notifications when a recipient opens a proposal for the first time.
Follow-up timing
Sarah at Acme viewed your proposal for 8 minutes yesterday
This level of engagement suggests serious interest. Now is a good time to reach out and answer any questions.
Expiration dates
Set an expiration date to create urgency and keep your pipeline accurate. When a proposal expires, the recipient sees a message indicating the pricing is no longer valid.
To set an expiration:
- Open the proposal settings
- Toggle on Set expiration date
- Choose a date (common options: 7, 14, or 30 days out)
You'll receive a notification when a proposal is about to expire. You can extend the date at any time before it passes.
Note: Expired proposals remain viewable but cannot be accepted. You'll need to create a new version or extend the expiration to proceed.
Approval requests
If your proposal includes discounts above the threshold set by your admin, it requires manager approval before sending.
Approval workflow
- You'll see a yellow "Pending Approval" badge on the proposal
- Click Request Approval to notify your manager
- Add a note explaining the discount (competitive situation, strategic account, etc.)
- Your manager receives an email and in-app notification
- Once approved, you can send the proposal
Managers can approve or reject directly from the notification email without logging in. If rejected, they'll include feedback so you can revise and resubmit.
Track all pending approvals from the Proposals tab. Filter by "Pending Approval" to see what's waiting on management sign-off.
