Enrolling contacts

A sequence only works when contacts are enrolled in it. Revian gives you multiple ways to add contacts to sequences, from one-off manual enrollment to fully automated triggers that keep your outreach running on autopilot.

Manual single enrollment

The simplest way to add someone to a sequence is directly from their contact record:

  1. Open the contact you want to enroll
  2. Click the Enroll in Sequence button in the action bar
  3. Select the sequence from the dropdown
  4. Choose when to start (immediately or scheduled)
  5. Preview the first email and confirm

You can also enroll contacts from the sequence itself. Open the sequence, click Add Contacts, and search for the person you want to add.

Before enrollment, Revian shows you a preview of how the first email will look with merge fields filled in. This is your chance to catch any missing data or make quick edits.

Bulk enrollment from contact lists

When you have a list of contacts ready for outreach, bulk enrollment saves time:

  1. Go to Contacts and filter or select the contacts you want
  2. Use the checkbox to select multiple contacts (or "Select All")
  3. Click Enroll in Sequence from the bulk actions menu
  4. Choose your sequence and enrollment settings
  5. Review the enrollment summary and confirm

⚙️ Bulk enrollment options

  • Stagger enrollment - Spread contacts over hours or days to avoid sending spikes
  • Skip already enrolled - Automatically exclude contacts in active sequences
  • Skip recently contacted - Exclude anyone you emailed in the last X days
  • Require email - Skip contacts without valid email addresses

For large lists, Revian processes enrollments in the background. You will receive a notification when the bulk enrollment completes.

Automated enrollment triggers

Set up triggers to automatically enroll contacts when certain events occur. This keeps your sequences running without manual intervention:

  • Form submission - Website form fills, demo requests, content downloads
  • Deal stage change - Moving to a specific pipeline stage
  • Contact created - New contacts matching certain criteria
  • Tag added - When a specific tag is applied to a contact
  • List membership - Being added to a smart or static list
  • Integration event - Triggers from connected tools like Slack or Zapier

To set up a trigger, go to your sequence settings and click Enrollment Triggers. Choose the event type, set any conditions, and activate the trigger.

When a contact submits the "Request Demo" form AND has company size greater than 50 employees, enroll in the Enterprise Demo Sequence

This trigger combines a form event with a contact attribute filter to route high-value leads into a specialized sequence.

Exit triggers

Just as important as getting contacts into sequences is getting them out at the right time. Exit triggers automatically remove contacts when:

Exit on reply is enabled by default and cannot be disabled. You never want to keep emailing someone who has already responded.

Tip: Set up exit triggers for meeting booked and deal closed to ensure engaged prospects are not receiving automated outreach after they have converted.
